Practice workflows

A med spa consultation request is not an appointment

A voice assistant can help with reviewed service information and organize consultation interest. A preferred day or time is a request until the practice's authorized scheduling process accepts it.

A working example

A preferred Friday slot needs confirmation

A visitor asks about a skin-care consultation on Friday afternoon. The assistant gathers the service interest, first-visit status, and preferred window. The practice still has to check the calendar and confirm a specific slot.

Keep the status visible as 'request for review' until staff or an authorized scheduler confirms the appointment. Route treatment suitability to a licensed provider.

Start with information the practice has approved

Hours, location, service descriptions, and published consultation information can be useful answers when the practice has reviewed them. The assistant should use the practice's current wording and avoid making a personal treatment recommendation from a caller's symptoms, photos, or goals.

Ask only for details needed to route a consultation inquiry. The public Example Med Spa page uses invented practice facts; its illustrative fee and hours are not terms for a real practice.

Show the difference between interest and acceptance

A request summary might include the service of interest, whether this is a first visit, a preferred time window, and a contact method the practice approves. It should say who reviews it and how the visitor will learn the outcome. A calendar invitation or 'you are booked' message belongs only after the authorized scheduler or staff has accepted the slot.

If a preferred time is unavailable, the next step may be to propose alternatives. If the scheduling connection is absent, the assistant can prepare a staff review item without claiming it has reserved capacity.

Leave suitability and safety with clinicians

Questions about whether a treatment is appropriate, risks, contraindications, or a reaction to a procedure need the clinical team. The voice workflow can identify the topic and direct the person to the practice's approved contact path; it should not substitute a diagnosis or treatment advice.

The website demo illustrates answers and request summaries with fictional data. It does not create a practice appointment, contact a real staff member, or access a patient record.

Before setup

Questions to bring to the conversation

  1. 01Approve the exact service and office information the assistant may repeat.
  2. 02Set the minimum fields for a consultation request.
  3. 03Define when the practice sends a confirmation and what it must contain.
  4. 04Name the staff or licensed provider path for clinical questions.
  5. 05Test an unavailable time and a request with missing information.

Common questions

Clear answers before a pilot

Is a preferred Friday time held when the assistant records it?

No. A preference is for review until the practice or its authorized scheduling system confirms a specific time.

Can the assistant recommend a treatment?

The practice should route suitability and clinical decisions to its licensed team. The assistant can share reviewed general service information.

Does the website example message a real med spa?

No. Example Med Spa is fictional, and the public demonstration does not notify staff or create an appointment.

What if we already use a scheduler?

Volimox can review the required actions and your account's authorized access. The existence of a scheduler does not establish that a confirmation action is supported.
