Getting started

Keep your current system or start with a complete one?

A business may need a better way to answer calls while its existing system remains the source of truth. Another business may need the customer website and daily operations system as well. The useful starting point is the work to be completed, not a forced migration.

A working example

Two operators, two different starting points

Two operators miss evening inquiries. One already has a booking platform that the team trusts; the other manages inquiries across a website form and a spreadsheet. Their first workflow should not be identical simply because both want an AI voice agent.

Map the required outcome first. Reuse a working system when it can support the agreed action; discuss a complete system when the missing customer and operations path is itself the problem.

Inventory the path a request takes today

List the phone number, website, inbox, booking or scheduling tool, customer record, and staff member involved. Follow one ordinary request through to completion. Note where details are retyped, where status becomes unclear, and who tells the customer the result.

Separate answering from acting. A voice agent may answer approved questions without system access, capture structured information for a person, or perform a permitted action in a connected tool. Those are different scopes, even when the caller hears a similar voice.

  • What already works and must remain the record of truth?
  • Which step loses the most time or creates the most uncertainty?
  • Which action needs a person, account permission, or provider support?

When the existing system is the sensible base

If staff use a dependable CRM or scheduling platform, start by checking whether the desired call outcome can be represented there. The setup may need call routing, approved answers, a structured handoff, and a narrow connection. Phone number routing and app permissions depend on the customer's provider and account.

An app listed in a directory describes a possible workflow to review. It does not certify a ready connector, a specific write action, or access to your account. Volimox handles technical configuration after the scope and authorization are agreed.

When the larger system deserves a look

If the business lacks a coherent website, online booking path, or operational view, adding another intake channel can increase manual work. The ready limo system offers a branded website, online booking, AI voice, and an operations portal as one path for that industry. Its product tour uses sample material where identified and should be evaluated against your own process.

The decision need not cover every workflow at once. Identify one representative customer journey and the staff steps behind it. Review how a request changes state, what a customer sees, and what your team still has to do.

Before setup

Questions to bring to the conversation

  1. 01Draw one request from first contact to final response.
  2. 02Mark the current source of truth for customer, booking, and payment status.
  3. 03List the actions the voice workflow needs, one by one.
  4. 04Check account permissions and provider behavior for each required connection.
  5. 05Compare the effort of connecting the current system with the scope of a complete system.

Common questions

Clear answers before a pilot

Do we need a new CRM to use a voice agent?

No automatic CRM migration is required. The right scope depends on the result you want and what your current tools can support.

Can we keep our phone number?

Call routing may allow it, but the exact setup depends on your phone provider and account. That needs review before a plan is agreed.

Who performs the technical setup?

Volimox handles configuration for the agreed workflow. Your team provides business rules and the authorization needed to connect its tools.

Is the complete limo system the default for every business?

No. It is a specific industry offering. Other businesses can start with a scoped voice and workflow connection around their existing operations.
